About the Role
An exciting and new opportunity exists for a high-level Executive Assistant, reporting to the Group Managing Director to join the team on a part time basis.

The working days are Monday – Tuesday ideally 8:30am – 5:00pm, working in a job share arrangement. You will need to be flexible with your working hours as there will be a requirement to take minutes for the Executive Committee (ExCo) meetings, which are held once a week commencing between 6am-8.30am.

The Group Executive Assistant is responsible for the effective and efficient organisation of the Global Executive, support for the Chair, the Company Secretary and CLFM Board, overseeing document management and business information. This role will also be responsible for providing support to the Global MD and their Committees and managing business information and presentations.

Key responsibilities include:

  • Providing support to the Group Managing Director and Global Executive with diary management, travel bookings and itineraries and general secretarial support.
  • Accurately take minutes during Executive Committee (ExCo) meetings.
  • Act as a contact person for the Chair and Company Secretary in relation to meetings, papers etc.
  • Prepare and circulate Global Communication as directed by the Group MD.
  • Schedule meetings and travel for any current and new Global Committees, as required.
  • Coordinate and organise all Global Executive meetings and manage work streams.
  • Provide presentations and documentation for Investor events.

Experience, skills & qualifications required:

  • Minimum 6 years’ experience in a Senior Administration, Executive Assistant or Office Management role reporting to a Global or National CEO/MD or equivalent.
  • Highly computer literate, with experience in SharePoint, Acrobat and Microsoft Office suite essential.
  • Business qualifications at a tertiary level or equivalent number of years’ experience is essential.
  • Strong written and verbal communication skills.
  • Highly organised with excellent attention to detail.
  • Ability to work in a fast-paced work environment.
  • Ability to multi-task and prioritise competing priorities.
  • Strong organisational, time management and administrative skills.
  • Ability to work flexibly.

CLV offers an attractive total fixed remuneration (TFR) which includes employer superannuation contributions.
