Summary of the Role

The Resident Assistant is responsible for promoting a residential experience that fosters retention and cultivates referrals; enhances students’ opportunities for academic success, engagement, appreciation for differences, knowledge of campus resources; and satisfaction with their university experience. In addition, Resident Assistants assist management in the administration of Village tasks including, but not limited to administrative, maintenance, and Residence Life.

Key Accountabilities

Promote Residence Life

  • Learn the names and develop a rapport with each resident in his/her area.
  • Initiate, plan and organize programs based on the Live, Learn, Grow programing model.
  • Encourage and facilitate the planning of programs and community builders based on the needs and interests of residents.
  • Create and/or distribute programming reports, flyers and other materials necessary to ensure success of programs and events.
  • Attend and assist with all community events/programs.
  • Advise residents/guests of and encourage adherence to CLV rules and regulations.
  • Report all violations of University and CLV rules, regulations and policies.
  • Utilize appropriate pathways for confrontation of higher-level violations (i.e. University Police, Director on Call).
  • Communicate and document infractions of University and CLV immediately via a completed Incident Report.
  • Establish behavioural standards and emphasize the concepts of common courtesy for others in the community.

 Model Professionalism

  • Present a positive image of CLV through appearance, pleasant demeanour, helpful disposition and responsive attitude.
  • Be a role model on campus, off-campus, and anywhere a resident could see the RA’s behaviour, including online.
  • Maintain high personal standards in behaviour, academics, and attitude.
  • Dress appropriately when working.
  • Know, abide by, and serve as a role model for all University and CLV policies in word and in action.

Participate in Village Administration 

  • Provide quality customer service for all residents, University stakeholders and visitors.
  • Address residents and guests when necessary to hold them accountable for their behaviour.
  • Distribute and collect reports, notices, and forms as requested by the supervisor or General Manager.
  • Know, communicate and enforce village and/or university policies and regulations whether on or off duty.
  • Complete necessary reports and forms (i.e. contact logs, duty logs, weekly reports, inventory sheets, programming sheets) in an effective and efficient manner and by the appropriate deadline.
  • Provide informative tours of the community as needed.
  • Prepare and submit an Incident Report to management within 24 hours of all incidents and situations which threaten the health and safety of residents and/or violate University/community policies and regulations.
  • Keep Management informed concerning community activities, issues, trends, etc.
  • Contribute to composing, publishing and distributing a monthly newsletter.
  • Check your staff box daily and check-in with the appropriate staff as directed.
  • Process check-in and check-out of residents/guests to include key issue/collection, resident/guest assistance, room inventories, damage assessment, access card issue/collection and other assorted responsibilities.
  • Assist with the make ready of units between academic periods.
  • Report damages and facility repairs in a timely manner and follow up with residents on progress of repairs.
  • Coordinate accurate move-in and move-out unit inventories and unit condition reports.
  • Attend and participate in scheduled meetings.
  • Ensure proper use of master keys and follow prescribed procedures for these keys (Resident Assistant is responsible for the replacement cost of any lost keys in his/her possession).
  • Perform on-duty functions during regularly assigned office, evening and weekend hours as directed.
  • Continually conduct inspections of the community and report any damaged or missing property.
  • Be “On Call” as needed and scheduled – maintain a physical presence from 5:00pm to 8:00am on property. On-call duty includes rounds in the villages, being available for crisis and questions and spending the entire time (5:00pm to 8:00am) on property.
  • Be available in living area, especially during the evening hours maintain frequent contact with all residents, and be a visible member of the community in general.
  • Be knowledgeable of emergency procedures, confrontation methods and crisis intervention techniques.
  • Maintain accurate records of all activities and transactions which occur during scheduled desk and on-call shifts.
  • Report all maintenance problems involving CLV property, deficiencies, or damages via work request system.
  • Work with custodial staff to promote a clean and well-maintained area, including trash pickup, cleaning of Clubhouse and cleaning of apartments when needed. Be advised that cleaning is an expectation of a RA.
  • Use the internet in the administrative office for work purposes. May use the office for academic purposes including the internet and email, only when all their work is finished and approved by their supervisor.
  • Use of a personal electronic devices in the office for any use is allowed only with the permission of their supervisor ahead of time only after all work duties are completed.
  • Installation of programs on the office computer, including chat programs, without permission from their supervisor is also not allowed.
  • Refrain from using the office phone, duty cell phone, or personal cell phone for personal calls without permission of their supervisor. All approved personal calls must be kept to a maximum five minutes.

 Assist Residents 

  • Be available to residents for complaints, room changes and suggestions.
  • Manage discipline matters through the established procedures.
  • Recognize and assist students with social, personal, academic, and related concerns/needs.
  • Facilitate resolution of roommate issues.
  • Respond to and document any inappropriate behaviour.
  • Escalate resident issues when necessary to ensure appropriate response and resolution.
  • Ensure all information regarding residents is confidential. If uncertain about a situation, please see your supervisor.
  • Do not participate in the “rumor mill.”
  • Know campus and community resources, and refer when appropriate.
  • Consult with the appropriate staff members about the concerns and accomplishments of members of their building or specified area of jurisdiction.

 Liaise with University

  • Be knowledgeable about community and University rules and regulations in order to appropriately explain and enforce them when interacting with residents and visitors.
  • Promote and encourage resident participation in University sponsored activities.
  • Keep residents informed of pertinent campus information and deadlines.
  • Be familiar with campus and community resources and services.
  • Assist with University affairs.

Additional Responsibilities

  • Participate in RA Recruitment including information sessions and interviews.
  • Serve as a tour guide on Preview Days, usually held on weekends.
  • Assist in marketing of contract renewal application process.
  • Any other responsibilities and expectations as assigned by the direct supervisor, General Manger, or other village professional staff members.

Technical Skills

  • Basic proficiency in Microsoft Office programs.
  • Competent in basic math.
  • Ability to learn and use all IS programs pertinent to successful achievement of duties.
  • Ability to write and compose informational communication materials.

Experience

  • One semester of experience in planning and facilitating programs and events preferred.
  • Minimum 1 semester of housing experience preferred.

Qualifications

  • For on-campus villages, must be a student in good standing with the University/College and have a preferred cumulative GPA of 2.5 each semester, or meet the standards set forth by the institution.
  • Must be in good standing with the University (academically, financially and judicially) and CLV.
  • Must have completed at least 15 or more hours or have been full time for 2 academic semesters, and lived on campus for a minimum of 2 academic semester.
  • Resident Assistants (RAs) are students selected on the basis of leadership, experience, scholarship.
